SUMMARY SCOPE OF SERVICES

Property Due Diligence

  • Assess the property (or, properties) for suitability against project parameters.
  • Prepare and issue written report with input from Subject Matter Experts on the existing condition, comment on suitability of the property, and identify any deficiencies that may impact project success. 

Orientation + Pre-Planning

  • Revew  any available project documentation. 
  • Develop the project goals and objectives.
  • Identify and delineate the roles and responsibilities for the entire project team.
  • Develop a milestone schedule and budget for the project.
  • Walk through the existing locations making an analysis of programatic needs to be replicated in the new location.
  • Develop Project Execution Plan and get stakeholder buy in. 
  • Develop iniital budget and milestone schedule. 

Planning

  • Review Client budget and schedule with the project team, identify relevant categories of costs, estimates and limits, and overall cost objectives. 
  • Coordinate activities of the Owner, user group representatives, architect, engineer, and other consultants, (including all aspects of technology such as phones, data, A/V and specialties) to ensure continued focus on the project objectives. 
  • Assist the Owner and architect in reviewing the requirements of the governmental agencies 
  • Identify any potential costs that affect the budget, notify Owner. 

RFP Management+ Negotiations

  • Prepare RFPs for all necessary consultants and vendors for the project.
  • Manage interviews and bid levelling.
  • Prepare recommednation report for each vendor. 
  • Negotiate contract terms or ensure adherance to Client service agreements. 
  • On-boarding of vendor into the Project Team.

Pre-Construction Management

  • Monitor design development to confirm to established project goals.
  • Prepare and subsequently update in conjunction with the GC, preliminary construction cost estimates on a monthly basis. 
  • Manage value-engineering.
  • Receive summary of all project costs outside of the construction contract and provide a periodic “Financial Executive Summary”
  • Identify with the Construction Manager long lead strategy for procurement.

Permit Approvals

  • Establish required jurisdictional approvals.
  • Manage team deliverables to ensure timely submission to the various jurisdictional authorities.
  • Monitor receipt of approvals, coordinate with expeditor as needed.
  • Ongoing monitoring of inspections and sign-off through to Occupancy.

Construction Bid + Negotiations

  • Ensure transparent bid process with multiple trades per line item and fully levelled pricing.
  • Negotiate construction contract in conjunction with Counsel.
  • Agree on price and schedule, identify warranty requirements, insurance, and applicable shop drawing review process with the Construction Manager, and identify any phased completion issues.

Construction Administration

  • Manage all aspects of construction administration.
  • Pay Application review and management.
  • Construction Insurance monitoring.
  • RFI/Change Order Management.
  • Minimum weekly site visits and site observation reports.

Vendor Management

  • Align Client direct vendors to the project requirements.
  • Ensure engagement of the vendors to the appropriate stage of the project and that their input / deliverables are coordinated.
  • Manage communications between direct vendors and the project team.  
  • Include direct vendor costs in project budget reporting.

Construction Cost Management

  • Establish appropriate project cost accounting structure.
  • Establish streamlined payment procedures.
  • Receive, organize and Monitor all billings for completeness and alignment with performance / contractual responisbilities.
  • Prepare a Final Account of the Project.
  • Review Final Account and manage any remaining billings.


Relocation Management

  • Plan for relocation from the outset.
  • Demobilize the existing facility and prepare for restoration work.
  • Bid and select qualified moving company to handle the physical move.
  • Cooridnate all efforts in server relocation, equipment relocations.
  • Ensure successful First Day of Business

Post Construction Care

  • Review completed Operations & Maintenance Manuals with Facilities team.
  • Ensure training is carried out on all systems.
  • Evaluate project success and review with Client.
  • We never leave a project, and are always available to assist Customers with questions.
  • Regular check-ins to ensure continued project satisfaction
